What to Keep With Your Jewellery: Invoice, Certificate, Box

Good records make jewellery easier to insure, exchange, resize and pass on. Here is what to keep, how to store it and why each document matters.

When you buy jewellery, the pieces get the attention. The papers that come with them matter nearly as much. They prove what you own, help with insurance and make a future sale or exchange simpler.

The invoice

The invoice is your main record. It states what you bought, from whom, when and for how much. A good invoice lists weights, purity, HUID, stone details and the price breakup. See how to read a jewellery invoice line by line. It is the key document for any claim, return, exchange or valuation.

The diamond certificate

For a certified diamond, keep the grading report. It describes the stone and carries a report number. Keep it flat and clean, and keep a digital copy. See diamond certificates.

Hallmark details

Note the HUID of each gold piece, and the purity mark. They are usually on the invoice, and on the piece itself. See what a HUID is and how to verify it.

Service and warranty records

If the jeweller offers cleaning, resizing or other services, keep any card or record, and note when you used the service. This helps you plan the next check. See how often to check your jewellery prongs and clasps.

Terms of exchange and return

Keep a copy of the exchange and return terms, as stated at the time of purchase. These can differ between shops, and can change.

The box and packaging

The box a piece comes in is a good place to store it. It also helps if you sell the piece, since a buyer sees a complete package. Keep it in good condition.

Photographs

Take clear photographs of each piece, from the front, the side and the back, and of the hallmark if you can. Store them with your records.

Appraisals and valuations

Repair and resizing records

Keep receipts for work done on a piece. They show what changed.

How to store them

  • Keep a physical folder in a safe place, but not with the jewellery. See keeping jewellery safe at home and in lockers.
  • Keep digital copies, scanned or photographed, in a secure folder with a backup.
  • Label records by piece, so that you can find them.
  • Let someone you trust know where they are.

When you will need them

A simple record sheet

For each piece, note: what it is, when and where you bought it, the price, weight, purity, HUID, stone details and certificate number. A single page or a spreadsheet works.

Common questions

What if I lose the invoice? Ask the seller for a copy. Good jewellers keep records.

Is a digital invoice enough? Usually yes, but keep a backup.

Do I need to keep the certificate with the stone? Keep it separately and safely, and note the number.
